Online Applications

Purpose of Data Collection

If you wish to apply to us online, we require personal information from you. We assure you that your information will be treated confidentially. The collected data will be processed exclusively for the purpose of applicant selection and, if necessary, forwarded and used by internal departments.

Legal basis for collection: Art. 88 GDPR in conjunction with § 26 BDSG-neu

Application Information:

We are looking for the best applicants, regardless of ethnic origin, gender, religion or belief, disability, age, or sexual identity. Therefore, we do not require any information from you regarding these aspects.

Processing and Deletion of Your Application:

You can change or delete your application at any time and ask us for assistance by contacting our HR department. Personal data will then be deleted in accordance with the applicable legal provisions. This does not apply if legal provisions prevent deletion, or if further storage is necessary for evidentiary purposes, or if you have consented to longer storage. Personal data will be deleted after the application process is completed, or at the latest 6 months after the application process is completed.

Upon conclusion of an employment contract, your data may be transferred to your personnel file for the purpose of the usual organizational and administrative process, in compliance with the relevant legal provisions. Of course, you have the right to withdraw your application at any time.

Handling of Applicant Data:

We offer you the opportunity to apply to us (e.g., by email, post, or via an online application form). In the following, we inform you about the scope, purpose, and use of your personal data collected during the application process. We assure you that the collection, processing, and use of your data comply with applicable data protection law and all other legal provisions, and that your data will be treated with strict confidentiality.

Scope and Purpose of Data Collection:

If you send us an application, we process your associated personal data (e.g., contact and communication data, application documents, notes from job interviews, etc.) to the extent necessary for deciding on the establishment of an employment relationship. The legal basis for this is Section 26 BDSG under German law (initiation of an employment relationship), Art. 6 para. 1 lit. b GDPR (general contract initiation) and – if you have given consent – Art. 6 para. 1 lit. a GDPR. Consent can be revoked at any time. Your personal data will only be passed on within our company to persons involved in processing your application.

If the application is successful, the data you submitted will be stored in our data processing systems for the purpose of carrying out the employment relationship, based on Section 26 BDSG and Art. 6 para. 1 lit. b GDPR.

Data Retention Period:

If we cannot offer you a position, you decline a job offer, or you withdraw your application, we reserve the right to retain the data you submitted for up to 6 months from the end of the application process (rejection or withdrawal of the application) based on our legitimate interests (Art. 6 para. 1 lit. f GDPR).

Subsequently, the data will be deleted and physical application documents destroyed. The retention serves, in particular, for evidentiary purposes in the event of a legal dispute. If it is apparent that the data will be required after the 6-month period (e.g., due to a pending or imminent legal dispute), deletion will only take place when the purpose for further retention ceases.

Longer retention may also occur if you have given corresponding consent (Art. 6 para. 1 lit. a GDPR) or if legal retention obligations prevent deletion.

Inclusion in the Applicant Pool:

If we cannot offer you a position, there may be an option to include you in our applicant pool. If included, all documents and information from the application will be transferred to the applicant pool to contact you in case of suitable vacancies. Inclusion in the applicant pool is based exclusively on your explicit consent (Art. 6 para. 1 lit. a GDPR). Giving consent is voluntary and has no bearing on the ongoing application process. The data subject can revoke their consent at any time. In this case, the data will be irrevocably deleted from the applicant pool, unless there are legal retention reasons.

Data from the applicant pool will be irrevocably deleted no later than two years after consent is given.

Changes to this privacy policy

We reserve the right to amend this privacy policy if the legal situation or this online offering or the type of data collection changes. However, this only applies to declarations regarding data processing. If user consent is necessary or if parts of the privacy policy contain a regulation of the contractual relationship with users, the privacy policy will only be amended after the user’s consent. Therefore, please inform yourself about this privacy policy as needed, especially if you provide personal data.

Right to lodge a complaint with a supervisory authority

Without prejudice to any other administrative or judicial remedy, every data subject shall have the right to lodge a complaint with a supervisory authority, in particular in the Member State of his or her habitual residence, place of work or place of the alleged infringement if the data subject considers that the processing of personal data relating to him or her infringes the EU General Data Protection Regulation (GDPR).

Right of withdrawal

You have the option at any time to object to the collection, processing, and use of your data and/or to revoke your consent to the collection, processing, and disclosure of your personal data to us with effect for the future. Data for billing and accounting purposes are not affected by this. For this and other questions regarding the right of revocation, you can contact us at any time at the address given above.
